Residency Programme Coordinator (m/f/x)
WIELS is looking for a Residency Programme Coordinator (part-time, permanent contract)
As Residency Programme Coordinator, you ensure the day-to-day management, administrative and operational running of the programme, supporting invited artists and ensuring the smooth coordination of associated partnerships. You play a central liaison role between residents, mentor artists, curators, international partners and various internal departments, ensuring the smooth running of activities, residencies and programme-related events.

Tasks
- Partnership management and development: renewal, administrative follow-up, coordination of calls for applications and selection panels with partners.
- Organisation of artist residencies: sourcing and managing accommodation, contracts, inventories, payments, administrative procedures and potential visa support.
- Supporting artists in residence: responding to practical needs, sharing useful information.
- Programme activity coordination: planning meetings with mentors, studio visits, institutional visits and other external activities, as well as organising study trips (twice a year).
- Organisation of public presentations and programme-related events: logistical coordination, schedule management, in liaison with relevant internal departments.
- Programme budget monitoring: preparation of accounting documents, expense management and invoicing.
- Preparation of communication content: gathering images and texts for the website and social media.
- Cross-departmental collaboration with various departments (production, communication, mediation, patronage, reception, technical) to ensure programme coherence.
- Participation in fundraising activities related to the residency programme.
Profile
- Proven experience in cultural management: ability to combine hospitality, logistics, administrative tasks, activity and event coordination, and network development.
- Aptitude for teamwork and continuous internal and external communication (with the team, residents, institutional partners, patrons, visitors, and applicants).
- Excellent language skills (English, French, Dutch; other languages welcome).
- Proficiency in office software and digital content creation.
- General knowledge of and/or keen interest in contemporary art.
- Ability to support and communicate with artists from diverse contexts and sensibilities.
- Autonomy, confidence, diplomatic skills, reliability and integrity.
